It defines the acceptable usage of the platform, including how it is accessed and by whom. It explains why we use the Membership System and restricts any improper use.\u0026nbsp;\u003C/p\u003E\n\u003Cp\u003EThis policy is intended to protect the confidentiality, integrity and availability of the data held within the Membership System.\u003Cbr\u003EBy continuing to use the Membership System you agree to the terms in this Policy.\u003C/p\u003E\n\u003Cp\u003EIf you are discovered contravening this Policy your membership status may be affected.\u003C/p\u003E\n\u003Ch3\u003EConfidentiality\u003C/h3\u003E\n\u003Cp\u003EYou shall not use or disclose to any person, either during or at any time after your time as a Member of the Scout Association, any confidential information or personal data about the Scout Association, or its members, or about any other matters which may come to your knowledge as a result of carrying out your duties, unless there is a legal reason to do so.\u003C/p\u003E\n\u003Cp\u003EFor the purposes of this clause confidential information means any information or matter which is not in the public domain and which relates to the affairs of the Scout Association.\u003C/p\u003E\n\u003Cp\u003EYou must adhere to the Data Protection Act 2018 at all times and ensure your training in this area is up-to-date.\u003C/p\u003E\n\u003Ch3\u003EMembership System Access\u003C/h3\u003E\n\u003Cp\u003EThe Membership System will be accessible directly via the internet and will be available through a web browser on laptops/desktops and mobile devices (collectively known as Device).\u003C/p\u003E","gtmId":"","gtmClass":""},{"gridType":"RichTextBlock","content":"\u003Ch3\u003EDevice Security\u003C/h3\u003E\n\u003Cp\u003EThe base level of security that the Device must adhere to is as follows:\u003C/p\u003E\n\u003Cul\u003E\n\u003Cli\u003EAuthentication of the user via a secure password.\u003C/li\u003E\n\u003Cli\u003EAccounts and / or passwords should not be shared with other individuals.\u003C/li\u003E\n\u003Cli\u003EPasswords should be unique.\u003C/li\u003E\n\u003Cli\u003EUp-to-date and active antivirus software.\u003C/li\u003E\n\u003Cli\u003EUp-to-date operating system patched in line with the vendors security releases.\u003C/li\u003E\n\u003Cli\u003EOperating system has not been modified from the vendors standard (i.e. not \u2018jail broken\u2019 or \u2018rooted\u2019).\u003C/li\u003E\n\u003Cli\u003EDevices are locked when unattended.\u003C/li\u003E\n\u003Cli\u003EDevices are not left in public areas unattended.\u003C/li\u003E\n\u003C/ul\u003E\n\u003Ch3\u003EMembership System Requirements\u003C/h3\u003E\n\u003Cp\u003EWhen working on the Member System and the data it contains, the User should follow the below conditions. The User must have regard to the Safe and Proper Use section when following these conditions:\u003C/p\u003E\n\u003Cul\u003E\n\u003Cli\u003EDownloads of data should only be completed when there is a valid reason to do so, via the mechanism the Membership System provides.\u003C/li\u003E\n\u003Cli\u003EAny data downloaded must be stored securely and treated as confidential.\u003C/li\u003E\n\u003Cli\u003EAny data downloaded must be deleted from the device and from the deleted items or recycle bin, once they are no longer required.\u003C/li\u003E\n\u003Cli\u003EData should not be shared with any individuals who are not authorised to see it.\u003C/li\u003E\n\u003Cli\u003EDo not attempt to access data that you are not authorised to see.\u003C/li\u003E\n\u003Cli\u003EContact the Scout Association immediately if you suspect the Membership System is suffering from a fault.\u003C/li\u003E\n\u003Cli\u003EChange your password or request a new one (as appropriate) if you suspect your current password has become known to others.\u003C/li\u003E\n\u003Cli\u003EEnsure the screen of your device is protected from other individuals who may review the content they are not authorised to.\u003C/li\u003E\n\u003Cli\u003EWhere the user suspects there has been a breach of confidentiality, availability or integrity, they should reach out to their Groups Data Lead and the Scouts Data Protection Team via \u003Ca href=\u0022mailto:enquiries.dpo@scouts.org.uk\u0022\u003Eenquiries.dpo@scouts.org.uk\u003C/a\u003E immediately.\u003C/li\u003E\n\u003C/ul\u003E\n\u003Cp\u003EIf any third-party tool or application is used to access or collate data, it must be for Safe and Proper Use. The User is responsible for making sure that the tool is secure and complies with the requirements of this Policy. The User must not use a tool that stores or hosts any personal data or confidential information, is automated without oversight, or is incapable of being suspended.\u0026nbsp;\u003C/p\u003E\n\u003Ch3\u003ESafe and Proper Use\u003C/h3\u003E\n\u003Cp\u003EThe Membership System must be used for communicating, organising and delivering Scouting activities only. Users are not permitted to access the system:\u003C/p\u003E\n\u003Cul\u003E\n\u003Cli\u003EWhen they are suspended or have left the Movement. Line managers must make every effort to revoke access when they are made aware of a member being suspended or leaving the movement.\u003C/li\u003E\n\u003Cli\u003EFor any personal use outside of Scouting including commercial or research purposes, or to collate data.\u003C/li\u003E\n\u003Cli\u003ETo cause or enable any defamatory, abusive, hostile, obscene or unlawful act. \u0026nbsp;\u0026nbsp;\u003C/li\u003E\n\u003Cli\u003ETo cause any deconstruction, decompiling or engineering of the Membership System, or to interfere with its functionality\u003C/li\u003E\n\u003C/ul\u003E","gtmId":"","gtmClass":""},{"gridType":"RichTextBlock","content":"\u003Ch3\u003EMonitoring and Filtering\u003C/h3\u003E\n\u003Cp\u003EThe Scout Association reserves the right to monitor and inspect your usage of the Membership System at any time without notice.
